Summary: Under the direction of the Logistics Supervisor, the Logistics Coordinator ensures the successful execution of product movements in order to meet customer needs, both actual and forecasted. The incumbent supports the Department by ensuring the proper distribution, transportation, and inventory accounting (deployment) of the Company's goods and services within a defined geographic region or assigned vendor base. Incumbent also responsible for reviewing daily inventory positioning, making decisions regarding the transport of product, and tracking shipments during the fulfillment process from the assigned point of distribution.
The Logistics Coordinator will office primarily within the Houston Corporate location, however, he or she may occasionally be required to travel to the Freeport, TX location for both initial training and ongoing business needs. The incumbent will work in an open office environment, interacting with several others within and outside of the office and must be able to build and maintain strong working relationships with others. The incumbent will be responsible for communicating fulfillment status and issues as needed internally and effectively resolving issues with third party logistics (3PL) providers.
Essential Duties and Responsibilities include the following items. Other duties may be assigned as needed to meet business and customer needs.
- Verifies inventory locations and availability for shipment against requirements specified in purchase orders;
- Reviews inventory position daily and weekly against outstanding orders and sales forecasts and takes action to expedite inbound shipments to meet customer demands;
- Works with supervisor to effectively resolve inventory or order discrepancies that are outside of his or her control;
- Ensures that goods are shipped in the most timely and efficient manner according to documented processes, including planning the transportation route and payload, selecting the mode of transportation, tendering the order for transportation, and tracking the shipment from pick up through delivery all the while targeting cost reduction, freight savings, service and contractual requirements;
- Assembles load fragments into consolidated loads thus balancing freight savings, service and contractual / legal requirements;
- Communicates fulfillment status and / or issues within the Organization to points including Demand / Supply Planning, Logistics Management, Sales, and Customer Service;
- Works closely with 3PL providers to assure efficient and effective execution of defined processes and goods transportation;
- Ensures inventory accuracy by coordinating the inventories and goods system to system information with distribution centers to near real time monitoring of EDI processes as well as other manual inventory and adjustment processes;
- Organizes and maintains hard copy and electronic documentation supporting order fulfillment, distribution means, pricing, and contractual obligations,
- Codes, and prepares proper paperwork for billing and authorization of a variety of invoices per defined processes,
- Initiates overcharge/undercharge freight bill claims with carriers and tracks reconciliation of the same per regulatory standards,
- Re-routes freight as needed to meet demands and minimize costs
- Initiates shrink threshold and loss claims with warehouse providers and tracking reconciliation of the same per contract standards,
- Ensures accuracy of physical inventory order sequence by entering intercompany purchase orders and intercompany transfers into the system following defined processes,
- Verifies accuracy of physical inventory when needed,
- Answers questions regarding sourcing from internal and external customers as needed, and
- Performs various other duties as requested.
Qualification/requirement:
- Demonstrated effective use of logistics software applications and following detailed company processes
- Ability to effectively plan and organize daily work to ensure that priority tasks are completed in a timely manner
- Ability to effectively multitask and complete multiple assignments within deadline driven time constraints
- Possess strong customer service orientation with the ability to build and maintain constructive working relationships internally and externally
- Demonstrated attention to detail
- Ability to recognize problems or deviations from normal and accepted practices and resolve situations as they arise according to company guidelines
- Excellent interpersonal and communication skills both orally and in writing
- Strong understanding of inventory controls, distribution, and means of efficiently transporting goods to appropriate destinations
- Ability to resolve customer concerns effectively and within Company guidelines while maintaining constructive relationships

- Computer proficiency: SAP, Logistics (ERP) Software Applications (Such as SAP, PeopleSoft, Manugistics), MS Word, Outlook, and Excel.
Experience/Training:
- High School Diploma or Equivalent Required;
- Associates Degree in business or Supply Chain Management required; Bachelor's degree or additional education a plus
- Two - five years relevant logistics, customer service, transportation or distribution experience
- Any combination of relevant education and experience to equate to the above requirements.
